What the AI training obligation actually requires
Article 4 sounds abstract but is quickly explained. Four points you should know:
Who is affected
All providers and deployers of AI systems, regardless of industry and size. Business use of ChatGPT, Copilot or AI features in standard software already makes you a deployer.
What is required
Employees working with AI must have sufficient AI literacy: basic technical understanding, awareness of limits and risks, and the legal framework. The legislator does not prescribe a fixed curriculum.
Since when it applies
The obligation has applied since February 2, 2025. Since August 2026, market surveillance authorities have been actively auditing. If you cannot show any training yet, stop postponing the topic.
What happens in case of violations
Article 4 has no fine of its own, we say that honestly. But missing AI literacy aggravates other violations and weighs heavily when AI use causes damage. Proof of trained employees is your safeguard.

AI training obligation FAQ
Is AI training for companies really mandatory?
Yes, since February 2, 2025. Article 4 of the EU AI Act obliges providers and deployers of AI systems to ensure a sufficient level of AI literacy among their employees. Training is the most common way to fulfill and prove this obligation.
Does the training obligation also apply to small companies?
Yes. Article 4 has no exemption by company size. The only thing that matters is whether your employees use AI systems. A five-person business using ChatGPT for customer inquiries is covered just like a corporation.
Is an online course or e-learning sufficient as proof?
Formally, e-learning can fulfill the obligation. But the AI Act demands literacy that matches the actual AI use in your company. A generic video trains nobody in handling your tools and your data. That is why we consider department-specific training the more defensible route.
Do participants receive a certificate?
Yes. We confirm every participation with a certificate listing the training content. These documents serve as proof towards market surveillance authorities and in audits.
How often does the AI training need to be repeated?
The AI Act sets no fixed interval. Since AI tools and the legal situation change quickly, we recommend a refresher once a year or after significant changes, such as introducing new AI systems.
How quickly can the training be delivered?
From the initial call to delivery usually takes two to four weeks. Most of that time goes into tailoring the content to your department. If it is urgent, we can move faster.
